Government Authority located in Connecticut; USA based organization looking for expert vendors for Comprehensive Online Records Management Indexing System.
[A] Budget: Looking for proposal
[B] Scope of Service:
(1) Vendor needs to provide comprehensive online records management indexing system
- 1. To provide the Town Clerk’s Office with a Comprehensive Records Management Indexing System Software for multiple index types.
2. To be able to provide unlimited index types without additional costs using a bar code system.
3. To provide imaging of all indexed documents.
4. To provide a cashiering system, with the capability to be imported into the Town of Westport’s financial software, MUNIS system.
5. To provide statistical indexing reports such as; Instrument Occurs reports, Productivity reports, Front Book Index reports, Day/Month/Year-End reporting by specific date ranges, etc. providing fees and indexing reports in hard copy and PDF.
6. To provide Shared User Licenses for Six (6) staff members.
7. To provide User Licenses for Three (3) public search workstations.
8. To provide various security layers/permissions/ access rights controlled by the Town. Including: A. Office access to all records; B. Town-wide government employee access to those records assigned by Town Clerk; C. Public access to those records assigned by Town Clerk.
9. To be able to accommodate eRecording and eCommerce, including direct charges.
10.To be able to export data for microfilm security copies in TIF format.
11.Option to fully index and scan at the counter; however, may be performed separately. 12.Unlimited phone support and unlimited remote support.
13.To include all necessary upgrades to software.
14.To provide an online web-based public search of index types and purchase of images.
15.To provide certification of documents directly from the system.
16.Must be vendor hosted. The Town owns all data and data will be returned to the Town in a mutually agreed upon format following termination or cancellation of the contract.
17.All hardware provided by the Town of Westport but may be purchased, programmed and installed by the vendor.
18.To provide web-based marriage application integrated with the indexing system.
19.To provide a dog registry system.
[C] Eligibility:
Onshore (USA Only)
[D] Work Performance:
Performance of the work will be Offsite. Vendor needs to carry work in their office location.
