Government Authority located in Connecticut; USA based organization looking for expert vendor for facility management system.
[A] Budget: Looking for Proposals
[B] Scope of Service:
(1) Vendor needs to provide facility management system with unlimited application users to streamline all areas of operations: maintenance management, asset management and inventory control.
- Manage all elements of the system through a central administrator.
- Automatically routes and assigns help desk tickets to the appropriate staff person.
- Submit requests online via request submission portal and receive email updates on status of request.
- Notify technicians of new incidents via email and smart phone push notifications.
- Perform ad hoc queries of work orders using multiple complex search criteria and multiple sorting criteria.
- Record information about work requestors such as name, phone number, and email address.
- Prioritize customer work requests.
- Define work orders according to the type and scope of work involved.
- Define work orders by trade.
- Print work orders individually or in batches.
- Be able to edit work orders, insert comments and upload equipment pictures while work orders in workflow.
- Track work order status from submission to completion.
- Run historical reports from the system as well as to be able to run customized reports to need related to work orders.
- Track all scheduled maintenance.
- Schedule recurring preventive maintenance tasks on a daily, monthly, quarterly or annual basis.
- Maintain the preventive maintenance (PM) history.
- Automatically generate preventive maintenance work orders via integration with a work order system.
- Display future scheduled work in a calendar format for resource scheduling.
- Run historical reports from the system as well as to be able to run customized reports to need related to preventative maintenance.
- Track and monitor inventory usage, equipment information, including manufacturer, model, and serial, service dates, and warranty expirations.
- Store information on assets and equipment, tools, supplies, vehicles, or other material items of value.
- Track assets, equipment and work order histories by schools.
- Enable users and tradesmen to enter all materials and purchase orders used in work orders.
- Collect data on all school buildings (age, square footage, heating and cooling equipment, capital improvement projects).
- Enter and track building uses and permits for events within the school buildings and board of education property.
- Produce invoices for building use and permits.
- Track Permit requests and approvals with the ability to communicate such information to identified staff and stakeholders as appropriate through the system.
- Run historical reports from the system as well as to be able to run customized reports to need related to permits.
(2) All questions must be submitted no later than March 18, 2019.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
